We’re looking for a motivated and organized Administrative Assistant to join our team and support our leadership as we continue to expand.
Job Summary
We are seeking a highly organized and proactive Administrative Assistant to provide comprehensive support to our executive team. The ideal candidate will possess exceptional administrative skills, a strong customer service orientation, and the ability to manage multiple tasks efficiently. This role is essential in ensuring smooth operations within the executive office and will involve a variety of responsibilities including communication management, data entry, and document preparation.

Duties

  • Manage and prioritize incoming communications, including emails and phone calls, ensuring timely responses.
  • Perform data entry tasks with accuracy and attention to detail.
  • Proficiency in Microsoft Office 365 Suite (Word, Excel, PowerPoint, Outlook, Teams) and Google Workspace, Zoom Workspace.
  • Prepare and manage documents using DocuSign for electronic signatures.
  • Maintain organized filing systems for both physical and digital documents.
  • Provide excellent customer service by addressing inquiries and assisting clients as needed.
  • Assist with front desk duties, welcoming visitors and managing appointments.
  • Proofread documents for accuracy and clarity before distribution.
  • Support executives with various administrative tasks as required to enhance productivity.
  • This is an on site role, remote work is not allowed for this position.

Requirements

  • 5+ years of proven Canadian experience as an Administrative Assistant or in a similar role.
  • Strong proficiency in Office365 applications.
  • Familiarity with DocuSign or similar electronic signature platforms is preferred.
  • Excellent phone etiquette and interpersonal skills for effective communication.
  • Ability to handle confidential information with discretion.
  • Strong organizational skills with the ability to multitask effectively.
  • Attention to detail in all aspects of work, particularly in proofreading documents.
  • Customer service experience is highly desirable.
  • Strong communication skills is highly desired.
