Currently, we have a fantastic career opportunity for a full-time Administration Assistant to join our team. You must be willing to work in a team environment with a positive attitude and eagerness to assist with the success of the company. This successful candidate will possess strong computer skills in Excel, Word and Outlook and pride themselves on attention to detail. This job will entail booking jobs with clients and cleaning crew as well as follow up and record keeping.

REQUIREMENTS:

  • High school diploma or GED, or an acceptable combination of education and experience.
  • Able to write simple correspondence, including memos, letters, etc.
  • General mathematical skills.
  • Ability to apply understanding to carry out instructions in written, verbal, or diagram form.
  • Knowledge of supplies, equipment, and/or services ordering, as well as inventory control of these items.
  • Strong knowledge of Microsoft Office products, including Excel, Word, and PowerPoint.
  • Able to maintain filing systems and basic databases. Excellent analytical and problem-solving skills.
  • Meticulous records maintenance skills.
  • Superior telephone manners and strong interpersonal skills.
  • Strong written and verbal skills to communicate with all levels of the organization and its executive team.
  • Strong customer service orientation.
  • The successful applicant will have to undergo the necessary background check of which all costs are covered by Bee Clean.

Responsibilities
  • Build and maintain strong relationships with team members to ensure service delivery.
  • Collect, review, process, and manage office performance records, reports, and documents.
  • Prepare accurate quarterly/annual performance reports using MS Office Suite.
  • Schedule, direct, and ensure timely completion of work orders.
  • Respond to phone, email, and in-person inquiries; direct to appropriate departments as needed.
  • Take and record messages; type and prepare forms, letters, reports, and memos.
  • Receive, distribute, and organize correspondence, records, and files.
  • Assist in compiling data and preparing reports as required.
  • Coordinate logistics for meetings, workshops, events, and special projects; arrange venues and equipment.
  • Present a professional and positive image as first point of contact for visitors and suppliers.
  • Support client manager with administrative tasks and ensure forms/reports are completed.
  • Observe and report security issues to management.
  • Arrange travel bookings, distribute tickets, and track related expenses.
  • Manage inbound/outbound mail, courier services, and shipments.
  • Create and communicate purchase orders in Yardi.
  • Coordinate and approve employee timesheets as needed.
  • Collect water and gas meter readings (monthly) and report to accounting.
  • Gather and submit receipts, shopping cart sheets, and related documents.
  • Obtain project/item quotes as requested.
  • Coordinate extra billing reports, cart collection, meeting minutes, and report creation.
  • Perform other duties as assigned by management.
