Job Description:
The Administrative Assistant supports the daily operations of the ABA center by providing clerical, scheduling, and customer service support to staff, clients, and families. This role ensures smooth office functions, efficient communication, and a welcoming environment for all who interact with the center.

QUALIFICATIONS:

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • Prior administrative or office support experience, healthcare/ABA experience a plus.
  • Strong organizational skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficient with Microsoft Office/Google Workspace and scheduling software.
  • Ability to multitask in a fast-paced environment.
  • Commitment to maintaining confidentiality and professionalism.
  • Bilingual/Fluent in Spanish a plus!

Responsibilities

KEY RESPONSIBILITIES:

Front Desk & Client Support

  • Greet clients, families, and visitors with professionalism and warmth.
  • Answer and direct phone calls, emails, and inquiries in a timely and courteous manner.
  • Assist families with check-in/check-out procedures and general questions.
  • Maintain confidentiality of all client records in accordance with HIPAA and company policies.

ADMINISTRATIVE & CLERICAL TASKS

  • Maintain accurate and organized digital and paper records.
  • Prepare and distribute documents, reports, and communication as requested.
  • Track attendance, cancellations, and other center activity for reporting purposes.
  • Support billing and payroll processes with accurate data entry, accepting patient payments, and verification.
