DESCRIPTION

Brown & Beattie Ltd. are Building Science Engineers that provide services to Building Owners and Managers in the effective evaluation, restoration, maintenance, and capital planning of their buildings. We present options and recommendations for appropriate repair programs to major building systems and oversee the work for conformance to specified standards. We provide building condition assessments and budget forecasting to enable our clients to effectively budget and plan for building repairs.
Brown & Beattie Ltd. is located in Richmond Hill, Ontario and is currently offering a position for an Administrative Assistant. The position starts immediately and is anticipated to require 37.5 hours per week. Ideally, this role is suited to a recent graduate looking to get experience in general office administration, and who is open to learning in many areas of our business. The Administrative Assistant will be responsible for a variety of tasks for the Engineers, the Administrator & Marketing Manager and the Office Administrator & Human Resources Coordinator. These tasks will require high attention to detail, quality, accuracy and prioritization of work in a team setting.
This challenging position requires exceptional computer skills in Microsoft Office Suite (Word, Excel, Access, Power Point, and Outlook) and Adobe. You must have excellent communication skills, strong editing, and proofreading skills as well as the ability to deal with clients on a daily basis. The position requires both autonomous and collaborative work. The successful candidate will also be encouraged to offer their insights and to develop and integrate processes and procedures to continually improve overall productivity and efficiency.

Primary responsibilities include:

  • Reception – meet and greet clients, couriers, contractors.
  • Manage calls, proposal requests, prepare daily couriers.
  • Respond to general inquiries and information requests from clients.
  • Prepare proposals, documents for Management and Engineers using Word and Excel.
  • Perform clerical duties such as open, sort, and route incoming mail; maintain an inventory of office supplies; general filing and file maintenance, as required.
  • Provide support for administrative staff as required.
  • Perform other general office duties as required.

The ideal Candidate will possess the following:

  • Post-secondary education in Office Administration, Business, Marketing, or Human Resources is preferred.
  • Exhibits excellent time management and organizational skills.
  • Practices excellent spoken and written communication and interpersonal skills in English. Other languages not required though may be an asset.
  • Must be poised, professional and thorough.
  • Have the ability to work under pressure and experience managing customer requests.
  • Proven proficiency with Microsoft Office products including Outlook, Excel, Word, PowerPoint, and Access.
