OVERVIEW

We are seeking a proactive and organised Administrator to join our team. In this vital role, you will provide broad administrative support to ensure the smooth running of our office and services. You will be the first point of contact for staff and service users, managing a variety of administrative tasks with efficiency and professionalism.

QUALIFICATIONS

  • Previous office experience with a focus on administrative duties is preferred.
  • Bilingual candidates are encouraged to apply to enhance communication with diverse clientele.
  • Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Excellent organisational skills with the ability to manage multiple tasks effectively while adhering to deadlines.
  • Experience in clerical roles or as a personal assistant is beneficial.
  • Strong typing skills with attention to detail for data entry tasks.
  • Knowledge of dental or medical receptionist duties is an advantage but not mandatory.

Responsibilities
  • General office administration, including managing correspondence, maintaining records, and updating databases.
  • Liaising with staff, service users and their families, and external agencies as required.
  • Supporting the recruitment and onboarding process, including for staff on COS visas.
  • Assisting with rota management and staff scheduling.
  • Preparing documentation, reports, and meeting minutes as needed.
  • Responding to telephone and email enquiries in a timely and courteous manner.
  • Sharing responsibility for the on-call phone, to provide support outside of usual office hours on a rota basis (shared within the team).
