Description Job Classification: Staff, Part-Time, 12 Month, Non-Exempt Reports to: Director of Campus Safety Summary The Administrative Assistant for Campus Safety plays a key role in supporting the operational and security functions of the campus. This position is responsible for managing the office budget, coordinating physical and electronic access systems, and overseeing key distribution and dormitory-related logistics. The coordinator ensures accurate record keeping and collaborates with various departments to support student life, safety operations, and facilities management. Responsibilities and Duties Administrative & Financial Tasks Maintain the office budget and ensure accurate tracking of all expenses via the designated spreadsheet. Reconcile monthly credit card statements and resolve discrepancies. Key & Lock System Management Manage the distribution of keys to all faculty and staff. Maintain accurate key records using the MB Lock System. Support and manage tasks involving the Schlage Lock System. Train personnel and manage tasks involving KeyCafe. Support and manage tasks involving the Lorex Camera System. Collaborate with the locksmith to issue work orders for broken locks, particularly in student dorms. Process and maintain records for student dorm room and dresser keys at the beginning and end of each academic term. Access Control & Security Systems Administer Schlage Lock System and System Galaxy fob access for students, faculty, and staff. Run and distribute weekly Campus Safety Reports every Monday morning to the designated recipients. Student Housing & Dormitory Logistics Coordinate key processing and room access during student move-in and move-out periods. Work closely at the beginning and end of the school year with the Office of Student Life and Dorm Room Movers to ensure belongings are delivered to the correct dorm rooms. Conduct regular inspections to ensure dresser locks in dorms are functional. Parking & Identification Management Distribute parking stickers and Drury Lane barcode stickers using the Veracross system (requires system access). Knowledge, Skills and Abilities The ideal candidate is thoughtful, articulate and passionate about the mission of independent school education. This position requires individuals who communicate effectively and take initiative. Organization and coordination with many departments is critical for this positions’ success. Individual will need to be flexible and adaptable to meet the needs of an ever-changing boarding school and environment. A disciplined, results-oriented, self-starter, demonstrating initiative and the ability to work independently with minimal supervision. Persuasive communication skills in writing, in-person, and over the telephone. Outstanding listening and analytical skills. Strong interpersonal skills with the ability to be knowledgeable and articulate in stating Mercersburg Academy’s mission and vision. Ability to appropriately manage highly-confidential information. A creative, good-natured member of a team with demonstrated collaborative and pro-active manners. Exceptional organizational skills and attention to detail. Minimum Qualifications Independent School experience and familiarity with Mercersburg Academy’s program. Previous experience working with security or access control systems preferred. Computer literacy (Microsoft Office Suite, internet, e-mail, scheduling, and database software programs.)
