The position provides comprehensive administrative and fiscal support to ensure the efficient operation of the division. The role involves performing a variety of complex tasks related to financial tracking, procurement, travel coordination, and project support. The incumbent will collaborate closely with leadership and staff to maintain compliance with City policies, ensure accuracy in documentation, and contribute to the successful completion of departmental objectives and special initiatives. Minimum Qualifications: Associate’s degree from an accredited college with major course work in Business Management, Public Administration, Business Administration, or related field Four (4) years of clerical and administrative experience Preferred Qualifications: Intermediate to advanced skills in Microsoft Office, most notably Excel and PowerPoint Strong problem-solving, strategic, and analytic skills to manage multiple priorities Experience coordinating events, meetings, and travel arrangements Experience with PeopleSoft (ERP) or a similar financial management system The Administrative Assistant - Capital Delivery responsibilities include: Support complex fiscal activities, including account analysis, budget monitoring, contract reconciliations, and other project coordination duties. Support administrative functions for purchase orders, which may include, but are not limited to, creating specifications and answering vendor questions, developing and processing contract agreements, and creating requisitions. Support with travel coordination, including reservations, registration, and reimbursements, ensuring adherence to City policies. Assist the Senior Administrative Assistant and division leadership with special projects and initiatives as assigned. Attention to detail and accuracy in work output and maintain accurate records and ensure confidentiality and compliance with City policies. Respond to internal and external inquiries, resolve routine issues, and direct individuals to appropriate departments or contacts. Excellent written and verbal communication skills and the ability to meet deadlines. Demonstrate strong attention to detail and commitment to accuracy in all tasks and deliverables. Participate in special projects as assigned. Working Conditions and Physical Demands Depending on assignment, positions in this class typically require touching, talking, hearing, seeing, grasping, standing, walking and repetitive motions.
