Job Title: Administrative Assistant Pay range: $16.00-$25.00 an hour Reports To: Office Administrator  Work Schedule: Monday thru Friday, 8:00 a.m. to 4:30 p.m.; every other Saturday morning, 8:00 a.m. to 12:00 p.m.; Memorial Day Monday; and Cemetery Sunday (first Sunday in November). Job Summary:  The Administrative Assistant provides administrative support for the work conducted at Catholic Cemetery. The Administrative Assistant performs general office or secretarial work of moderate difficulty and performs other duties as assigned. The position requires prior secretarial experience and is expected to use personal judgment in carrying out routine duties and responsibilities of the position. This job description reflects management's assignment of essential job responsibilities; it does not prescribe or restrict the tasks that may be assigned. All the duties and standards within this job description will be performed according to the established Cemetery policies, procedures and guidelines. Essential Responsibilites:  1. Perform secretarial and receptionist functions such as answers the phone, manages incoming and outgoing mail, makes photocopies, faxes documents, and other clerical duties as assigned. 2. Establish and maintain complex filing systems. Receives, sorts, files and retrieves forms, correspondence and documents. Process documents to update and maintain files and records. 3. Compile reports and summaries of work; updates, checks and completes records, forms and documents. Verifies discrepancies and makes corrections. 4. Perform customer service functions by answering client/visitor requests and questions. 5. Process and distribute confidential and sensitive documents. 6. Compose, format and type routine correspondence, reports and other documents. 7. Order office and program supplies as needed or requested. 8. Coordinate and plan special occasion days and assist with various special projects, as needed Other Responisbilites:  1. Complies with federal, state and local safety laws. 2. Maintains a neat and safe work area. 3. Regular attendance and punctuality are essential for this job 4. Performs other duties as assigned. Qualifications:  To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Required: Compliance with BCI&I background checks and completion of Protecting God's Children program. Education: High School degree or equivalent is required; secretarial training is preferred. Experience: Two years of experience in clerical work or any equivalent combination of education, training and experience that demonstrates the ability to perform the duties of the position; computer experience is required. Job Related Skills: An understanding of communications and the Catholic perspective; the ability to serve others; excellent typing, filing and proof-reading skills, excellent communication skills and knowledge of office equipment. Knowledge of Microsoft software applications (Microsoft Word, Microsoft Outlook, Excel, and PowerPoint). Typing of 30 - 40 words per minute with accuracy. A working knowledge of business English, spelling and arithmetic; office practices and procedures; and filing methods are required. Interpersonal Skills: The ability to work with others in a collaborative team environment. Language skills: Ability to read and comprehend simple instructions, write short correspondence, and memos. Ability to effectively communicate to customers and clients Mathematical Skills: Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance. Reasoning Ability: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Working Environment: The ability to maintain all information highly confidential.
