Description JOB DESCRIPTION Admin Department Assistant This position assists in the overall operation, maintenance, and supervision of CFL USA. This position will be a critical part of CFL USA’s facility maintenance and daily operations. This position predominantly operates Monday to Friday from 8:00 to 17:00. This may also include extended hours for special events, special projects, meetings, and headquarters personnel arrivals to the USA. This position is one of a working supervisor. This individual is to lead by example and to work hand in hand with all staff of CFL. This person works under the general supervision of the Admin Manager and assists with supervising all Admin Department personnel. ESSENTIAL DUTIES AND RESPONSIBILITIES Manages and supervises assigned operations to achieve goals within available resources; organizes workloads and assignments; motivates staff; reviews progress and directs changes to the Admin Manager. Requirements Must be at least 21 years of age. Must be able to lift objects over 10 pounds, squat, and walk. The factory is very large and requires you to walk throughout the day. SAP knowledge of Purchases Orders and Invoice processing is preferred. Typing skills and computer skills required. Tasks include: 1. Processes all financial needs of the Admin Department within SAP software. 2. Tracks all financial progress of the Admin Department and reports any discrepancies to the Admin Manager 3. Takes all CFL daily meeting notes for the Admin Department and sends transcriptions to Headquarters daily. 4. Accompanies the Admin Manager to any off-property meetings and takes notes that are transcribed and sent to Headquarters. 5. Assists Admin Manager with supervising all levels of employees within the Admin Department. Includes: Guard, Auditor, Housekeeping 6. Trains in all positions of the Admin Department to assist with coverage if needed. 7. Maintains all required monthly and yearly inspections. 8. Assists Admin Manager with sourcing local goods, contractors, and repair agencies. 9. Maintains par levels of all office supplies and janitorial supplies for factory use. 10. Plan any functions that are required during CFL Headquarters visits. 11. Maintain all showrooms for North America division meetings and send all invites for showrooms to proper personnel within the facility. 12. Maintains the Admin calendar daily to track all meetings and daily duties. 13. Maintains internal checklists from Guards, Auditor, Housekeepers, and Maintenance 14. Place all orders needed for the Admin Department through the SAP system and track them until paid. 15. Notifies recycling and waste companies when removal of bins is necessary. 16. Assists Admin Manager with light repairs to the facility. 17. Assists with dropping off or picking up individuals from Atlanta Airport when needed. 18. Takes daily photos of factory areas and reports issues to an internal app. Maintains a daily log of photos to report at the end of every month.
