Description
Provides general administrative support which could include coordinating meetings and appointments, planning events/meetings, ordering office supplies, maintaining files, badging / credentials for any visitors and contractors. Provides thorough calendar management including: Ensuring the right people are in each meeting, helping manage cadence of meetings to maximize leader's time (i.e., when possible leaving blocks of calendar time free for work time), gathering pre-read in advance Coordinates domestic and international travel plans as required. All travel planning and booking including support scheduling in person meetings in line with planned travel, and managing expense reports. Assists in managing SharePoint for the team. Communicates and interacts effectively with other leaders and employees. Maintains highest degree of confidentiality at all times. Assists in preparing presentation slides including proof-reading. Coordinates meetings, conference calls, and catering needs. Orders supplies and equipment. Independently completes projects by gathering, organizing and summarizing information and preparing documents from general instructions. Proven experience in administrative support roles (5+ years minimum) Strong organizational and multitasking skills. Proficiency in Microsoft Office Suite and enterprise systems (e.g., SAP, Workday, or similar). Excellent communication and interpersonal skills. Ability to work independently and handle confidential information with discretion. Experience with e-billing and setting up vendors in payment system. Ability to problem solve and use good judgement in making decisions.
