JOB SUMMARY:

The Administrative Assistant is responsible for supporting the Winnipeg Member Centre team. The working schedule will be up to 22.5 hours per week. This position is ideal for an individual with an interest in Human Resources who would be motivated to help develop and promote the CLAC Jobs and Training programs by building strong external relationships and establishing positive working relationships within the CLAC teams.

QUALIFICATIONS:

  • High school diploma or equivalent education
  • Bilingual in French would be an asset

SKILLS AND EXPERIENCE:

  • Minimum 6 months of experience in an administrative role
  • Relevant experience in human resources, customer service or administration
  • Experience with training, recruitment, and retention activities in construction, mining or related sectors is an asset
  • Professional interpersonal and communication skills (in-person, telephone, written, e-mail and social media)
  • Proficient in MS Office (Outlook, Excel, Word, PowerPoint) and typing skills
  • Experience with database entry, scanning and document management
  • Experience with website forms and navigating website tools
  • Able to multi-task and handle ongoing interruptions and distractions in a busy and challenging environment
  • Able to handle confidential information with diplomacy and strict adherence to confidentiality
  • Able to effectively work remotely, independently or with some travel as required

Responsibilities

KEY RESPONSIBILITIES:

The essential duties and responsibilities of this position include, but are not limited to, the following:

  • Verbal and written correspondence – preparing, proofreading, and formatting a variety of correspondence, and reports including collective agreements, answering phones, database work, word processing, mailing, filing, assisting local CLAC Representatives
  • Training event management activities, including attending industry, community and job fairs
  • Apprenticeship support activities
  • CLAC Jobs member retention and workforce recruitment activities
  • Preparing packages for employee sign-up, membership meetings, organizing drives, etc., and assembly and distribution of Apprentice SWAG kits
  • Frequent use of CRM system, including but not limited to: adding & updating member records and running reports
  • Making copies of or scanning correspondence or other printed materials
  • Daily back-up for Member Centre Welcome Specialist (Reception) when required
  • Scheduling appointments, taking notes, and other administrative work that may include:

  • Ordering and stocking office and clean-up supplies
    -Postage and fax machine operation and maintenance
    -Arranging courier services

REPORTING AND ACCOUNTABILITY:

  • This position reports directly to the Regional Director.
