Job Title: Administrative Assistant, College Advising Job Description All Saints’ Episcopal School is currently seeking an organized, and collaborative professional who is passionate about working closely with talented students and supportive parents in the college admission process. College Advising seeks to hire an Administrative Assistant who excels in office management and interpersonal skills, and who possesses an enthusiasm for working in a fast-paced and dynamic environment with adolescents. Efficiency, timeliness and good humor are essential elements of this position. The ideal candidate will have three or more years of experience managing administrative and logistical processes for a focused team in an office setting, ideally in an educational context. The College Advising Administrative Assistant would join a tight-knit team of two full-time college advisors. The Administrative Assistant is expected to attend all required Upper School staff meetings and professional development opportunities as required. Job Responsibilities Be the first point of contact for students and families with application and admission questions and direct them to the appropriate counselor Provide administrative assistance to the college advising department, including managing calendars, scheduling appointments, and handling phone calls and emails. Maintain organized records and databases of student information, transcripts, and college applications. Prepare and distribute college-related materials and resources to students and families. Assist students in the college application process, including managing application deadlines and materials. Coordinate college visits, fairs, and informational sessions. Communicate with students, parents, and college representatives to relay information and updates. Assist in drafting and proofreading college-related documents, such as recommendation letters and resumes. Ensure clear and timely communication with all stakeholders. Maintain and update student academic records and college application data. Generate reports and compile statistics on college admissions and scholarships. Assist in tracking students' progress in the college application process. Assist in organizing and coordinating college advising events, workshops, and information sessions. Prepare materials and resources for college-related events and activities. Collaborate with other school departments to ensure the success of college advising programs. Maintain the organization of the college advising office, including ordering and managing supplies. Assist in developing and improving office processes and procedures. Support the college advising team in day-to-day tasks and projects.
