As an Administrative Assistant in the Commercial & Investment Bank, you will play a key role in supporting executives and their teams. You will manage a variety of administrative functions that require confidentiality, initiative, and sound decision-making. You will work closely with stakeholders, act as an owner and problem solver, and deliver flawless work output in a collaborative team environment. Job responsibilities Manage and handle complex, detailed calendars, including multiple and urgent meeting conflicts; set up meetings and conference calls both internally and externally, and handle all associated logistical aspects Work in a fast-paced, ever-changing environment and effectively handle multiple priorities with a calm, professional, and willing attitude Provide telephone coverage, answering calls professionally, addressing issues or redirecting as appropriate, and distributing messages in a timely and appropriate manner Coordinate travel arrangements, including air, hotel accommodations, and ground transportation; prepare detailed itineraries and required travel visas/documents, ensuring accuracy and timely delivery of plans and tickets to travelers Process invoices and Travel and Expense (T&E) expense claims for team members in a timely manner; ensure all policies are followed and items are processed within provided guidelines; act as a subject matter expert for policies and procedures Assist with overflow work, special projects, assistant back-up coverage, and day-to-day tasks Required qualifications, capabilities, and skills Minimum of 5 years’ experience in an Administrative Assistant role within financial institutions Strong interpersonal and partnership skills, with the ability to develop relationships with peers and clients Willingness to take on increased or new responsibilities as needed Demonstrated tact and good judgment in confidential situations, with proven experience interacting with senior management Ability to adapt procedures, processes, and techniques to complete assignments Experience in calendar management Excellent telephone etiquette Fluent in verbal and written English Preferred qualifications, capabilities, and skills Adaptable team player
