SUMMARY:

We are seeking a skilled Administrative Assistant to support daily operations through calendar management, travel coordination, meeting planning, and general office tasks. The ideal candidate has 5+ years of administrative experience, is proficient in Microsoft Office, and excels in multitasking in a fast-paced team environment. Strong communication, a change-agile mindset, and experience with PT&E and CSR are essential. An associate’s degree is required.

  • Associate’s degree in a related field required
  • A minimum of 5+ years of related administrative experience
  • Experience with calendar management (Microsoft Office) and Teams
  • PT and E experience required
  • Experience with CSR
  • Ability to prioritize and multi-task in a team environment

Responsibilities
  • Answer general phone inquiries using a professional and courteous manner
  • Direct phone inquiries to the appropriate person
  • Reply to general information requests
  • Greet visitors in a professional and friendly manner
  • Use MS Office including MS Word, Excel and PowerPoint to prepare reports, memos, and documents
  • Sort incoming mail, faxes, and courier deliveries for distribution
  • Prepare and send outgoing faxes, mail, and courier parcels
  • Provide full-range of administrative support to include:
  • Manage multiple Outlook calendars with expertise
  • Plan and coordinate a variety of meetings and events, such as staff meetings (including recording of action items) and a variety of recurring events with other groups inside and outside of Pfizer when necessary
  • Prepare and edit reports and presentations using Microsoft Office software
  • Organize and maintain files
  • Coordinate and manage travel arrangements and prepares expense reports
  • Field incoming telephone calls and replies to routine inquiries
  • Provide project management assistance when necessary
  • Expedite flow of work, and initiate follow-up when necessary, particularly when supervisors are traveling
  • Order supplies and equipment
  • Cooperate with other administrative assistants in maintaining an efficient workroom
  • Serve as back-up administrative support for any member of the team when necessary
