The hybrid Administrative Assistant / Coordinator position will play a crucial role in ensuring smooth and efficient operations. This role will support our team with a variety of administrative tasks, coordinating schedules, and facilitating communications across departments. Excellent rganizational skills and attention to detail will be key in maintaining a productive and harmonious work environment. Requirements Review and approve CRM orders. CRM data entry and auditing line items. AP-Receives, verifies, reconciles, and approves factory invoices. AR-Invoice customer following FOB terms. Calculates sales tax on customer invoices. Reviews, verify, and post invoice batch transactions. Assists with job reconciliation weekly and monthly utilizing unbilled and VIR dashboard. Manage incoming calls, provide customer service to our sales team through phone, email, teams and /or CRM. Cost recognition . Collects, organizes, and analyzes data using Excel. Cross-trained to perform multiple roles and provide coverage as needed for the administrative team. Perform other related duties as assigned. Required Skills/Abilities: Excellent verbal communication skills. Excellent interpersonal and customer service skills. Excellent organizational skills, attention to detail, self-motivated and takes initiative. Proficient in time management and ability to meet deadlines on assignments. Intermediate understanding of administrative and clerical procedures and systems. Demonstrates analytical skills and a strong work ethic. Proficient with Microsoft Office Suite or related software. Positive and collaborative attitude. Education and Experience: Familiar in Cost Accounting/Project Management. Experience with ERP System Data Entry. High school diploma or equivalent required. Physical Requirements: Prolonged periods of sitting at a desk. Must be able to lift to 15 pounds at times.
