Description Job Title: Corson Administrative Assistant Location: 3935 Sunnyside Drive Harrisonburg VA 22801 Days Worked: Full-Time; Monday - Friday; 8:00 a.m. - 4:30 p.m. The primary responsibilities of the Corson Administrative Assistant are to welcome everyone with warmth, hospitality and sincerity; provide accurate and timely information to callers; and provide administrative, clerical, and basic accounting support for the daily operations of the desk. Qualifications: Education and experience equivalent to high school diploma required; associate’s degree preferred. Previous administrative / clerical experience necessary. Efficient operation of computer and office equipment; ability to learn and operate new and changing software applications as well as assist others in their use. Proficient with Microsoft Office (Word, Excel, Publisher, PowerPoint). Ability to perform bookkeeping and basic accounting processes. Ability to multi-task while maintaining attention to detail. Prior work experience in the long-term care industry or working with older adults preferred. Ability to communicate with older population with varying mental and physical capabilities. Ability to work with confidential information and maintain its’ integrity. Ability to process information accurately, make appropriate decisions and take appropriate action based upon the information available. Sincere interest in working with the elderly. Be creative, positive, energetic, organized and patient. Strong customer service skills; maintain a hospitality approach when engaging all individuals. Requirements Project professional image of Sunnyside at all times. Answer incoming calls promptly and courteously. Take and forward messages accurately; notify staff members of emergency messages promptly. Greet residents, visitors and guests with warmth and sincerity and provide accurate information to assist them. Handle monies and give change as needed using basic mathematical skills in order to maintain accuracy. Handle daily and monthly transactions and deposits for the accounting department and keep records of accounts receivable. Collect or charge accounts for monies for items purchased. Sell stamps, movie tickets, meal tickets and copies to residents and staff. Handle personal funds accounts for residents reconciling accounts and distributing monies. Perform copy jobs for other departments timely and accurately. Maintain postage meter. Be knowledgeable of the copy machine and its’ functions. Sign out keys for specific campus locations as needed. Take resident requests for maintenance and event/trip reservations and enter those into software programs. Create memorial frames: paper version as well as in Wellzesta. Maintain resident birthday card list and distribution Maintain resident and staff phone lists. Create salon gift certificates. Record weekly salon charge totals on spreadsheet. Provide support with entering and maintaining information within the Wellzesta platform. Maintain a neat and clean reception area at all times. Print elopement pictures and maintain binder. Maintain receptionist handbook ensuring all materials are kept current. Create company internet access passwords for designated departments monthly. Act as a command base during fire drills and emergencies; relay messages and “All Clear” during fire drills and other emergencies as needed. Other duties as assigned.
