Here’s how a(n) Administrative Assistant for our Ottawa Dalcon office contributes to our team:

QUALIFICATIONS

  • High school diploma.
  • Post-secondary degree or diploma or certificate in office administration program considered an asset.
  • 3+ years of progressive experience as an administrative assistant.
  • Excellent verbal and written communication skills.
  • Advanced/Intermediate skills of Word, Outlook, PowerPoint, Excel, Adobe, and OneNote
  • General construction knowledge is considered an asset. Understands terminology and processes when drafting correspondence.
  • Professional and service- oriented approach internally and externally.
  • Self-management skills to plan, organize, and prioritize tasks with conflicting deadlines.
  • Ability to act with discretion when handling confidential and privileged information.

Responsibilities:

  • Develops and maintains a well-organized filing system that permits easy reference and rapid retrieval of information.
  • Answers telephone calls and takes messages for manager, department, or team members. Elicits necessary information to allow timely and accurate responses and responds when appropriate.
  • Assists with organizing meetings and/or special events including arranging for catering, locations and distribution of information.
  • Prepare and provide department/team/manager with necessary documents and supporting information.
  • Manage email and calendars on behalf of others.
  • Arranges travel, hotel, and car reservations and prepares itinerary.
  • Able to mentor and coach other, more junior, administrative support staff.
  • Orders office supplies for district or assigned area as required.
  • Provides accurate Word, Excel and PowerPoint support by composing and/or editing a variety of documents.
  • Develops and maintains strong, customer-focused relationships with key stakeholders and decision makers.
