Description Position: Administrative Assistant Location: Elgin, IL The Administrative Assistant position reports to the Branch Office Manager. This role performs routine clerical, invoicing, and administrative duties in an office environment. Light accounting and record-keeping responsibilities are also required. Job Responsibilities: Scan and upload completed service job files. Operate standard office equipment. Assist with invoicing and collections. Perform general data entry for accounting purposes. Check and verify job files, timesheets, and service tickets for accuracy. Communicate effectively via phone and email with the accounting department, Deshazo customers, and executives. Assist the Branch Manager, Office Manager, Salespeople, and Technicians with administrative tasks as needed. Desired Skills and Competencies: High level of accuracy and attention to detail. Professional and pleasant communication with team members and the public. Ability to manage multiple deadlines. Proficient in Outlook, Excel, and Word; able to quickly learn internal accounting systems. Strong problem-solving skills. Work Environment: This position operates in a professional office setting. Regular use of standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. Physical Demands: While performing the duties of this job, the employee is regularly required to talk and hear. Frequent standing, walking, use of hands and fingers, and reaching with arms are required.
