Description The Administrative Assistant position will report directly to Regional Administrator. This position will perform routine clerical, secretarial and administrative work in data processing, light accounting and record keeping. Job Responsibilities: · Assist Houston service manager in job management. · Scanning completed service job files. · Operates listed office machines. · Maintains virtual job files. · Process sales orders. · Data entry for remote offices for accounting. · Checking and verifying job files and service tickets for accuracy. · Cut vendor purchase orders (POs). · Update all purchase orders created and sent through the Docuware system. · Assist regional admins with retrieving freight costs to keep jobs moving through the system. Desired Skills and Competencies: Candidates must have at least 2 years’ of administrative assistance experience in the industrial, manufacturing, or overhead crane industry. Ability to work at a high rate of accuracy. Ability to communicate professionally and pleasantly with teammates and public. Must be able to handle multiple deadlines. Must be proficient in Outlook, Excel, Word Light accounting and bookkeeping duties involved. Should be able to quickly learn internal accounting system. Work Environment: · This job operates in a professional office environment. · This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
