Jamestown  JOB DESCRIPTION      POSITION/LEVEL: Administrative Assistant                                                                                                                                                                               FLSA STATUS: Non-Exempt    DEPT/OFFICE: Development & Construction, CHELSEA MARKET OFFICE                                                                                                                            DATE: October 2025        MINIMUM QUALIFICATIONS REQUIRED:        Education and Experience: * At least 5 years of experience with assisting a high-level senior executive * Undergraduate degree required   HOURS: 8:30a-5:00p (Full time in the office with possibility of one-day a week work from home) COMPENSATION: DOE; Range: $85,000 to $90,000 Annually & Discretionary success and year-end bonuses,    401k & Benefits   ESSENTIAL JOB FUNCTIONS:    * Support the Managing Director, Head of Construction & Development. * Light support to team in Construction & Development. * Ensure timely, accurate response to email and other administrative duties * Uses Outlook to schedule meetings and performs duties in support of meetings, including set up of audio/video conferencing, and orders and set up catering. * Coordinates travel arrangements, makes reservations, and manages expense reports using Concur software. * May plan and organize department events to include business meetings, client dinners, and employee social gatherings. * Formats and type letters, memos, forms, labels, agendas, notices, reports, requests for proposals, news releases, contracts or other correspondence on a computer and proofs correspondence and related documents. * Maintains database(s) and/or tracking logs related to department functions or activities; enters data or verifies information for accuracy; updates database(s) as needed; prints reports; files or submits documents/reports to appropriate department or director/manager. * Processes invoices * Generate reports using Excel and PowerPoint presentations * Serving as a liaison with other departments as needed * Ad hoc projects   KNOWLEDGE, SKILLS, AND ABILITIES:   * Exceptionally advanced proficiency in Microsoft Word, Excel, PowerPoint, Outlook and Concur * Positive attitude with a willingness to attack challenging intellectual problems * Self-Starting and Proactive. Anticipates, initiates, and sustains momentum to get the job done using intuition and without external motivation * Shows great attention to, and respect for, detail effectively (ex. accurate proofreader) * Excellent communication skills, both written and oral are a must * Identifies and takes actions necessary to complete tasks and obtain results in a timely manner within a fast paced and ever-changing environment * High responsiveness and flexibility to changing business priorities and tight deadlines with a willingness to learn •           Flexibility to work extended hours as needed * Verification of identity, education, prior employment, and references
