QUALIFICATIONS

  • Proven experience as an Administrative Assistant, Administrative Manager, or in a similar leadership support role.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent communication and interpersonal abilities—both written and verbal.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and other productivity tools.
  • High level of discretion, integrity, and professionalism.
  • Ability to make decisions under pressure and manage complex, high-stakes situations effectively.
  • Familiarity with budgeting, bookkeeping, or project management is a plus

Responsibilities

ABOUT THE ROLE

We are seeking a highly organized, proactive, and resourceful Administrative Assistant to provide direct support to the Founder and senior leadership. This role ensures seamless operations, effective communication across internal and external stakeholders and successful execution of projects, including strategic initiatives. Hours of work are considered semi-flexible, primarily to meet the needs of DTS’s operations, with reasonable consideration for the Administrator’s work-life balance.

KEY RESPONSIBILITIES

  • Serve as the primary point of contact between the Founder, team members, clients, vendors, and external partners, ensuring clear and timely communication.
  • Manage the Founder’s calendar, schedule meetings, arrange travel, and optimize time management.
  • Oversee correspondence (emails, calls, mail) and maintain company records.
  • Handle administrative and operational tasks including transcription, data entry, procurement, bookkeeping, invoicing, budgeting, contract creation/management, and report preparation.
  • Support special projects, strategic initiatives, and track deliverables to ensure deadlines are met.
  • Coordinate vendor relationships, supplier services, and client onboarding while maintaining exceptional customer service standards.
  • Prepare reports, presentations, and briefing materials for internal and external meetings.
  • Monitor expenses, track budgets, and report on financial performance to leadership.
  • Manage business development activities such as client relations, revenue diversification, and public/government relations as assigned.
  • Assist with risk assessment, contingency planning, and ensure business continuity.
  • Uphold confidentiality, review external communications, and maintain compliance with company policies.
