Description
Maintains a daily calendar, prepares, and manages expense reporting, schedules appointments, plan/coordinates small to large meetings and conferences (as needed), receive visitors, screens calls/mail, handles domestic/international travel arrangements, answers routine inquiries. Actively participants and contributes as a part of the team; takes a leadership role in a team. Actively seeks opportunities to help balance the workload throughout the department. Possesses a high degree of confidentiality, reliability, discretion, problem-solving, quality and professionalism Addresses changing priorities, calendars, and tight deadlines in a highly flexible and proactive manner. Possesses excellent organizational skills for managing multiple tasks and priorities in fast paced work environment. Monitors and coordinates oral and written communication between internal/external customers and the Campus Plant Manager's office. Ensures proper filing and record keeping by accurately storing/recording information in a timely manner Prepares and routes routine and more complex correspondence and/or presentations on own initiative (usually not requiring the Manager's attention). Compiles reports from various information sources and prepares documents for planning meetings and presentations. Maintains effective relationships with employees as well as external clients (e.g., key customers). Provides assistance to other key staff members and functional projects as needed. #LI-AR7 Undergraduate degree required. 1-3 years of progressive administrative assistance experience supporting senior level positions. Proficient in the use of Microsoft Office products such as Word, Excel, and PowerPoint Recommends office procedures and monitors results. Recommends plans and coordinates a course of action. Exercises good judgment on significant projects. Independently responds to a wide variety of information requests. Some inquiries may require some research. Familiar with solving problems and performing a variety of important, sometimes urgent, confidential, and complex tasks with constantly changing priorities. 1 to 3 years of experience in a similar position desired Make the hard decisions and be proactive.
