TO QUALIFY FOR THIS POSITION, YOU MUST HAVE KNOWLEDGE/EXPERIENCE IN THE FOLLOWING:

  • Post-secondary certificate, diploma or degree, preferred in business, office administration, for a related field.
  • 1-3 years of progressive administrative experience, preferably in a dynamic, fast-paced environment.
  • Experience with ServiceNow.
  • Experience in business analysis is an asset, including the ability to assess and refine workflows, interpret data, and contribute to process improvement initiatives.
  • Exceptional proficiency in Microsoft Office Suite, including advanced skills in Word, Excel, PowerPoint, and SharePoint.
  • Strong organizational and problem-solving abilities, with attention to detail and the ability to prioritize multiple tasks under tight deadlines.
  • Excellent written and verbal communication skills, with the ability to convey complex information clearly and concisely.
  • Familiarity with public sector structures and ITIL standards is considered an asset.
  • Experience with scheduling or workforce planning systems is an asset, particularly in testing or refining tools for operational use.
Responsibilities

ABOUT THE ROLE:

We are seeking a skilled and dedicated Administrative Assistant to join our Operational Support Services (OSS) branch. Reporting to the Director, Operational Support Services, you will play a crucial role in ensuring the seamless operation of essential administrative and operational processes. This includes managing schedules, supporting shift scheduling, routing and tracking approvals, maintaining documentation, and facilitating communication with internal and external stakeholders.
Your role will be pivotal in supporting the smooth operations of OSS, directly contributing to the branch’s mission of delivering exceptional IT support services to the healthcare sector. TYPICAL DAILY DUTIES:

  • Provide comprehensive administrative support, including scheduling, meeting preparation, and document management.
  • Develop, oversee and refine processes for shift scheduling and provide guidance to other scheduling staff.
  • Manage the routing and tracking of approvals for invoices, procurement, and staffing documents, ensuring timely processing.
  • Maintain accurate and confidential records and documentation in alignment with organizational standards.
  • Act as a primary point of contact for inquiries, fostering clear and prompt communication.
  • Identify opportunities for process improvement and recommend initiatives to enhance workflow and efficiency.
  • Support human resources functions, such as coordinating training approvals and managing staffing documentation.
