Electrical Consultants, Inc. (ECI) is a leading power engineering consultant firm that provides engineering, system planning and studies, technical consultation, project management, surveying, environmental planning, commissioning/testing and construction services to electric utilities, energy developers and industrials throughout the U.S. Our experience includes system voltages from 4.16 kV through 765 kV. ECI has an opening for an Administrative Assistant in San Diego, CA. The successful candidate will be responsible for the day-to-day overall support functions for a regional office of approximately 50+ employees which includes multiple support functions such as office support, mail, security, facilities, and internal and external customer service. Responsibilities include but are not limited to: Schedule and monitor staff travel arrangements. Assure that the front desk is attended for incoming telephone calls and visitors. Manages incoming and outgoing mail. Coordinate the office fleet management program including enforcing company policy use, cleaning and maintenance. Communicate and coordinate with the General Manager, Group Managers/Supervisors all office activities. Communicate and coordinate with the Corporate staff on matters concerning the Regional Office. Assure that the office equipment and supplies are maintained and in a high level of working condition. Initiate, manage and coordinate the office arrangements with outside vendors for cleaning, snow removal, landscaping, food/coffee vendor services, printer and plotter maintenance services, suppliers, etc. Become familiar with all office leases to ensure adherence. Project support to a variety of project teams including dictation, copying, filing, meeting notes, assembling of books, reports, drawing sets, establishing filing systems and coordinating project meetings. Manage the office inventory system for reported equipment such as computers, printers and plotters. Under the direct supervision of the Human Resources Director carry out New Employee Orientation, when requested. Under the direct supervision of the Human Resources Director coordinate specific Human Resources activities such as collecting and submitting annual and probationary performance reviews; setting up interviews; coordinating career fair details. Oversee the office filing system as it relates to operational records. Coordinate employee expense submittals to Corporate Accounting Department. Coordinate and monitor incoming invoices from vendors and suppliers with the Corporate Accounting Department to ensure accuracy. Coordinate office training (seminars, technical courses) submitting training certificates to Human Resources upon completion. Plan and execute regional office summer and winter party events. Coordinate other regional office events as requested. Oversee and assist with the preparation of common areas for office activities or meetings. Minimum Requirements: High school diploma; 2 years training beyond high school, 5 years direct work experience with increasing responsibility in a managerial position or equivalent combination of education and experience. Proven effective verbal and written communication skills; proven excellent level of interpersonal skills; ability to work individually and on a team. Strong working knowledge of word processing, spreadsheets, power point software. Must be detail oriented and possess a high level of organizational skills. Proven ability to work with confidential information.The successful applicant may be subject to client-mandated drug and background checking.
