Elmington is seeking a dedicated and organized Administrative Assistant to provide high-level support with a white glove approach, working on challenging and impactful projects while collaborating with a dynamic and diverse team. Strong business intelligence Ability to properly and discreetly handle sensitive and confidential information Professional and adaptable self-starter; must be resourceful and possess good judgment Strong computer and Internet research skills; technology oriented Ethical conduct to the highest degree Ability to expand role beyond responsive support to proactive contributions and ownership for administrative tasks Skilled at influencing and building relationships across all levels of the organization Communication proficiency Planning and organizing Anticipatory problem assessment and creative problem solving Extreme attention to detail and accuracy Flexibility and adaptability ESSENTIAL JOB FUNCTIONS:   General Administrative Functions * Act as an informed representative for the company and the Partners when interacting with colleagues, clients, and others while maintaining the confidentiality of highly sensitive information. * Provide assistance to the Executive Administrative team, focusing on contributing creative and timely support to maximize the efficiency and effectiveness of the team and the stakeholders * Plan and coordinate internal meetings, conference calls, events, and lunches or dinners, as well as sending out reminders * Support C-suite led projects across the full development lifecycle by conducting research, tracking follow-ups, and ensuring accountability with both internal and external stakeholders * Prepare and file expense reports Interim Support to C-suite Executive * Provide interim executive and personal coverage to a C-suite stakeholder  * Engage one-on-one with Executive daily to ensure they are well informed of and prepared for upcoming commitments; availability to be reached in and outside of regular working hours is necessary * Manage a complex professional and personal calendar with judgment and foresight, prioritizing time, information, and commitments. * Complete daily office set up and break down  * Coordinate domestic and international travel logistics, ensuring seamless itineraries and contingency planning * Collaborate with Executive’s key family members and vendor network for personal initiatives SPECIFIC EDUCATION, EXPERIENCE OR QUALIFICATION: * Bachelor’s degree  * 1-2 years of experience as an Administrative Assistant in a professional, corporate environment supporting senior professionals * Flexibility, adaptability, and availability; occasional weekend or after-hours availability is required * Tennessee Notary License, if not currently held, must be obtained within first 4 months of employment at company expense * Proficiency in MS Office Suite and Adobe Acrobat with an emphasis on Outlook; general familiarity with Divvy, Dropbox, SharePoint, and Canva are a plus * Ability to work under pressure in a fast-paced environment PHYSICAL DEMANDS AND WORK ENVIRONMENT This is an in-person role. Time will be split between the corporate office and city-based travel for completion of both professional and personal errands for C-suite executives.
