Description

WHO WE ARE LOOKING FOR

We’re looking for a resourceful and detail-oriented Administrative Assistant/Community Office Assistant who can help keep our workplace running smoothly and efficiently. This role is ideal for someone who enjoys managing day-to-day operations, maintaining organized systems, and ensuring the office environment supports team productivity.
You are a strategic thinker when it comes to managing schedules, supplies, and facilities. You take ownership of tasks—big or small—and understand the importance of creating a workspace that is clean, functional, and well-supported.
We value initiative and curiosity. You’re not just checking off tasks—you’re constantly looking for ways to improve how we work, whether it’s streamlining internal processes or finding better vendors for office needs.
In a growing company with a multicultural team, being open-minded and adaptable is important. You’re comfortable working with diverse colleagues and supporting multiple teams with varying needs.
You’ll help oversee office upkeep, property management coordination, supply inventory, and basic workplace compliance. You may also assist with event coordination, facility maintenance follow-ups, and liaising with building management.
The ideal candidate has prior experience in an administrative or office management role—ideally in a fast-paced environment—and is confident using tools like Google Workspace, basic spreadsheets, and task trackers.

Responsibilities
  • The repair, maintenance, and building project includes all aspects of infrastructure, rebuilding/repainting walls, waterproofing, roof repairs, kitchen, canteen, wooden flooring, and knowledge of pump/sewage systems
  • Operate building technical systems to ensure stable and safe performance
  • Supervise and coordinate with contractors during maintenance and repair work
  • Receive and handle technical incidents promptly to ensure quick resolution
  • Support other departments in building operational and management tasks
  • Prepare reports on the status of technical systems and propose upgrades or repairs when necessary
  • Comply with occupational safety regulations and operational procedures.
  • Coordinate property maintenance, repairs, and inspections
  • Organize meetings, appointments, and company events
  • Serve as the point of contact for vendors, service providers, and the building management
  • Liaise with tenants, contractors, and service providers to ensure all properties are well-maintained
  • Assist with lease agreements, rent collection, and property-related documentation
  • Conduct regular property visits to ensure standards are maintained
