Ferguson Corporation is seeking a dedicated Administrative Assistant to be the primary support for our Reception and Office operations, ensuring a vibrant and efficient environment for our team and visitors.
This pivotal role serves as the welcoming face of our Calgary office and the go-to person for all general administrative needs. While your main focus will be managing the front desk and day-to-day office functions, you’ll also provide essential administrative support across our Finance, Safety, and Human Resources teams, and help plan key company events. Responsibilities

This dynamic role focuses primarily on front-office and operational excellence. Your core responsibilities will include:

  • Reception & First Impressions: Be the welcoming first point of contact for all visitors, clients, couriers, and phone inquiries, managing calls and directing them appropriately with professionalism and warmth.
  • Office Management & Organization: Oversee the day-to-day operations of our Calgary office, ensuring a tidy, organized, and fully stocked environment. This includes managing office supplies, coordinating mail, shipping, and courier services, and liaising with external vendors for office maintenance and services.
  • General Administrative Support: Provide proactive day-to-day administrative assistance, including data entry, document tracking, digital and physical file management, and general correspondence.
  • Meeting & Event Coordination: Assist in organizing internal meetings and planning company events, from townhalls to annual gatherings, including securing venues, managing catering, and coordinating logistics.
  • Multi-Departmental Administrative Support: Provide diverse and comprehensive administrative support across our Finance, Safety, and Human Resources departments as required. Including tasks such as, coordinating travel arrangements, assisting with expense reports, and supporting HR-related activities.
  • Special Projects: Pitch in on various administrative tasks and special projects across departments as needed, demonstrating your versatility and collaborative spirit

To thrive in this multifaceted role, you’ll need:

  • Proven Experience: A minimum of 5+ years of experience in a dedicated administrative support, ideally with demonstrated experience in event coordination.
  • Technical Acumen: Advanced proficiency in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) is essential. Familiarity with SharePoint or similar document management systems is an asset.
  • Exceptional Organization: Organizational skills with a keen eye for detail, a demonstrated ability to manage and execute multiple competing priorities, with accuracy and efficiency in a busy environment.
  • Clear Communicator: Excellent verbal and written communication skills, coupled with a professional, articulate, and approachable demeanor. You’ll build strong relationships across all levels, and act as a welcoming first point of contact.
