Incumbent serves as Administrative Assistant/Financial Specialist for the Extension Office, responsible for maintaining various databases, creating correspondence, maintenance of financial ledgers, handling of customer receipts and preparing for events.
JOB REQUIREMENTS AND DIFFICULTY OF WORK:
High school diploma or GED.
Knowledge of Department operations with ability to apply such knowledge to a variety of interrelated processes, tasks, and operations.
Working knowledge of standard English grammar, spelling, and punctuation, and to prepare correspondence, documents, and written reports as required. Ability to maintain accurate files.
Ability to operate standard office equipment and computer software, including Microsoft Word, Excel, Publisher, 4-H Online, Salesforce, and Quicken, computer, calculator, fax machine, postage meter, copier, telephone, printer, scanner, and laminator.
Ability to file, post, and mail materials.
Ability to compare or observe similarities and difference between data, people, or things.
Ability to compute and perform simple arithmetic calculations.
Ability to compile, collate, or classify data and coordinate, place, make determinations, and take action based on data analysis.
Ability to plan/lay out assigned work projects and apply knowledge of people and locations.
Ability to understand, memorize, retain, and carry out written or oral instructions and present findings in oral or written form.
Ability to plan and present public speaking presentations and special events.
Ability to comply with all employer and department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.
Ability to provide public access to, or maintain confidentiality of, department records and information according to state requirements.
Ability to effectively communicate orally and in writing with co-workers, other County departments, community organizations, and the public, including being sensitive to professional ethics, gender, cultural diversities, and disabilities.
Ability to work alone with minimum supervision and with others in a team environment, work on several tasks at the same time, and work rapidly for long periods, occasionally under time pressure.
Ability to occasionally work extended hours, evenings, and weekends.

Answers telephone and greets office visitors, providing information and assistance, responding to inquiries, and/or directing callers to appropriate individual or department.
Ensures work is completed properly and in a timely fashion by department staff, including delegating work tasks.
Maintains various databases and software, including but not limited to, Microsoft Word, Excel, Publisher, Salesforce, Quicken, and 4-H online program.
Pays incoming invoices and generates County claims. Posts income/expenses in check register and Quicken software program. Generates payroll for office personnel.
Maintains office filing system, including Equal Employment Opportunity (EEO) and Civil Rights compliance, personnel, budget, and program files for Extension Board, 4-H, and subcommittees.
Creates and mails correspondence and newsletters for distribution to multiple agricultural and 4-H families.
Creates flyers for various events, including but not limited to, open houses, Farmer’s Day, workshops, livestock auctions, and annual year-end programs.
Assists Extension Educators and Health and Human Sciences to promote community programs to the County.
Prepares for quarterly events, including promoting the open house, performing 4-H fair duties, assisting with Farmer’s Day and annual banquets, and performing year-end reports.
Performs related duties as assigned.
