REPORTS TO: Fire Chief
LOCATION: Initial Placement - Fire Administration Office (Paris)

Minimum Qualifications:

  • Relevant Post-Secondary School education or equivalent combination of education and experience
  • Two years of related administrative experience
  • Proficient in Microsoft office, Word, Excel, PowerPoint, Adobe, Access with strong aptitude to become proficient in various software/computer applications
  • Excellent customer service and communication skills both written and verbal
  • Excellent organizational and time management skills, with strong attention to detail
  • Ability to perform in a professional and thorough manner with minimal supervision, and ability to maintain confidentiality
  • Available to attend evening meetings as required
  • Ability to work in a fast paced, highly regulated, team environment
  • Demonstrate safe work practices
  • Ability to lift office supplies, files, and firefighting equipment with an approximate weight of 22 kg – 50lbs
  • Acceptable Police Records Check
  • Valid Driver’s License and acceptable Driver’s Abstract

Assets:

  • Knowledgeable in Fire Department operations and terminology of firefighting equipment
  • Working knowledge of Fire Department computer software programs First Due, Fire Engineering, Symposium, FirePro2 and, CriSys
  • Experience working with GIS applications

Duties:

  • To provide clerical and administrative support services to the Fire Administration Team
  • Reception duties for the Department, including answering the telephone and taking messages
  • Cross training for other administrative positions to help cover vacations or leaves
  • Completion of Fire Department Standard Incident Reports for submission to the Ontario Fire Marshal’s Office utilizing administration software
  • Completion of daily fire log and statistics
  • Completion of components for invoicing through ARIS and MTO systems
  • Complete data entry, inventory, data research, and analysis for department software systems First Due, Fire Engineering, and GIS systems, as assigned
  • Prepare and complete file searches
  • Maintain long service records and complete applications for Provencial and Federal service bars
  • Prepare and maintain attendance records, including tracking sick leaves, vacation, flex time, WSIB claims, payroll and benefits
  • File station requisitions and maintain consumable stock and office supplies
  • Track and document radio equipment for Service and radio/pager repairs
  • Maintenance of inventory system including assigned PPE, Public Access Defibrillators and deployed apparatus equipment
  • Assist with maintenance of employee personnel files and training records, departmental files, confidential information and records retention
  • Prepare memos, reports, presentations and other written communication for administration staff as requested
  • Provide administrative support at meetings
  • Other duties as assigned

Annual Salary Range - $60,169 - $70,379 (Job Grade 3) 35 hours per week
