Santé Group, a multidisciplinary healthcare clinic in Pickering, Ontario is seeking a conscientious, mature, personable candidate who can multitask and learn effectively, to fill a busy administrative health assistant position offering shifts which include daytime as well as evening and occasional weekends, in a professional, collegial environment for approximately 12-20 hours per week.
This position reports to the Chief Executive Officer.
The successful candidate will perform administrative tasks to support patient-centered care for Santé Group’s team including the Doctors and all interdisciplinary professionals.

Responsibilities of the position include:

  • Greeting patients in a professional, friendly and welcoming manner both in person and over the phone;
  • Receiving patients in an efficient and orderly fashion, maintaining patient flow on schedule;
  • Registering patients and obtaining, verifying and updating all necessary patient demographic information for accurate input into databases;
  • Providing guidance for completion of all necessary paperwork relating to patients’ appointments;
  • Coordinating with other team members and maintaining patient flow between the reception area and treatment rooms;
  • Scheduling patient appointments: Booking initial appointments and follow up appointments accurately in the scheduling program and placing reminder calls to patients regarding their next appointments;
  • Receiving and processing payments by cash/debit/credit; reconciling daily transactions and preparing cash summary reports;
  • Answering phone inquiries and patient questions, resolving issues and directing or escalating to appropriate team members as required;
  • Preparing patient charts, and performing other clerical work as required;
  • Providing administrative support, maintaining health records;
  • Performing other general clinic/administrative duties including data entry, filing, faxing, photocopying, printing documents and maintaining tidiness in clinic, administrative areas and the front reception area;
  • Keeping the clinic, kitchen, facilities and treatment rooms tidy and stocked up as required throughout the day
  • Maintaining consistently high professional standards;
  • Providing individualized patient attention;
  • Working collaboratively and effectively with all team members to provide a welcoming and patient focused environment;

Required Qualifications:

  • Professional fluency and firm command of the English language, both verbal and written;
  • College or University degree or equivalent from an accredited academic institution;
  • A professional demeanour and presentation, mature communication style and polished manner with patients;
  • Ability to handle sensitive situations with tact while respecting patient confidentiality at all times;
  • Self-starter who focuses attention to detail, and demonstrates a high degree of accountability and sound judgement;
  • Possessing of a solid work ethic and the accountability to take ownership of comprehensive task completion;
  • Flexibility and the ability to work effectively in a team environment;
  • Ability to work well under pressure and appreciate a sense of urgency in completing time sensitive tasks and meeting deadlines;
  • Effective organizational, multitasking and problem solving abilities;
  • Experience with patient databases and scheduling software an asset, but training on proprietary software will be provided;
  • Availability some evenings and weekends;
  • Relevant experience working in a professional environment, and ability to provide a high degree of customized patient service.
