Working directly with insurance companies and property management companies, we respond to emergencies 24 hours, 7 days a week and 365 days a year. We have a team of skilled members dedicated to ensuring the customer receives the highest quality of customer service. We are currently seeking a reliable, energetic individual to join our team as a Project Manager Assistant.

REQUIREMENTS:

  • Minimum 2 years experience in an administrative role
  • Ability to work effectively both independently and in a team setting
  • Experience using Microsoft Office products
  • Skilled at networking and maintaining company reputation through integrity and quality work
  • Highly organized

  • Positive work ethic
  • Experience in the Restoration field considered an asset
  • Experience with XactAnalysis, Encirle and PSA considered an asset

Experience:

  • Project Coordinator/Assistant: 1 year (preferred)

Responsibilities
  • Provide support to the Project Manager (PM) by coordinating project activities and ensuring the continuity of each project from the initial loss through to the completion of restoration
  • Act as a central point of communication between the PM, contractors, property managers, insurance adjusters, homeowners, and tenants
  • Continuously update project progress and log all project details, key decisions, and communications in company ERP system (PSA)
  • Track all project timelines and milestones using the appropriate software tools (PSA and Xactimate) and/or any other administrative methods
  • Prepare and submit Initial Loss Reports, Inspection Reports and daily updates to property managers and insurance adjusters
  • Assist PM with building repair schedules and issuing to clients
  • Assist PM in the preparation of work orders
  • Schedule/book appointments for PM such as site visits, inspections, final walk throughs
  • Prepare and issue work orders to in-house carpenters and subcontractors.
  • Maintain all paperwork for each file and ensure the proper signatures are collected (work authorizations, certificates of completion)
  • Work with accounting to ensure all billing details are correct, to ensure files are invoiced in a timely manner
  • Communicate with and build strong, healthy rapport with all in house and sub trades, property managers, insurance adjusters, home owners and tenants
  • Ensure all company, client, and project policies, procedures, standards, etc., are adhered to
  • Filing, job creation and answering phones as required
  • Additional assignments or projects as per supervisor’s direction

    Pay: $50,000.00-$60,000.00 per year
