Administrative Assistant The Administrative Assistant/Director of First Impressions represents the Key West Harry S. Truman Foundation and the Harry S. Truman Little White House (LWH). This position handles members and the Foundation's Board of Directors inquiries in person, by phone, and through the foundation email. While you sit at the front desk, you are the foundation's Director of First Impressions. The member's first impression should be that the foundation has integrity and excellent member services. This position is also responsible for computer support, photocopying, filing, mailing, and other clerical duties to support the Deputy Director in a busy office environment. Requirements Essential Functions Extend courtesy, friendliness, and hospitality in full measure to every person. Answer multi-line telephone to assist the public with tours, attractions, and tourism-related information. Direct calls to the appropriate person or screen calls as directed. Take and deliver messages to the appropriate person. Assis the Key West Harry S. Truman Foundation's members and donors with their clerical needs, such as printing membership cards, assisting with event registration, and updating records. Listen to the Key West Harry S. Truman Foundation's members and donor's concerns. Refer complaints, suggestions, and messages to appropriate personnel for further investigation and follow-up. Respond to Company and Foundation emails for general information inquiries and direct emails to the appropriate person. Required Knowledge, Skills, and Abilities A high degree of self-motivation and the ability to work independently or as a team within the scope of established rules and regulations. Knowledge of telephone etiquette with the ability to speak in a clear voice. No shouting or interrupting the customer. Knowledge of principles and processes for providing customers and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction. Knowledge of administrative and clerical procedures and systems such as word processing, spreadsheets, emails, managing files and records, and other office procedures and terminology. Effective oral and written communication skills, including the ability to clearly express thoughts to others and exchange information. Qualifications High school graduate or equivalent Previous experience in clerical, secretarial, or business administration preferred. Background or willingness to learn Truman-related heritage. Other Requirements Must pass a pre-employment background check and substance abuse testing. Have a passion for helping people and making their Key West experience a memorable one.
