Description The Administrative Assistant provides professional administrative and organizational support to the Office of Divine Worship. This role ensures the efficient operation of the office, assists with diocesan liturgical events, maintains accurate records, and serves as a point of contact for clergy, parishes, and diocesan ministries Key Responsibilities Administrative Support Manage incoming communications, including phone calls, emails, and correspondence. Schedule appointments, meetings, and liturgical event logistics. Maintain office filing systems, databases, and diocesan records. Prepare agendas, reports, and documents for meetings and events. Assist with budgeting, expense tracking, and financial documentation as needed. Liturgical & Event Coordination Support planning and execution of diocesan liturgies, including Chrism Mass, confirmations, ordinations, and special celebrations. Coordinate communications with parishes, clergy, and liturgical ministers regarding events. Assist in preparation of liturgical materials, schedules, and worship aids. Recordkeeping & Reporting Maintain accurate records of liturgical events, sacramental celebrations, and office activities. Generate reports and provide documentation as requested by the Director. Requirements Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred. Experience: Minimum 2 years of administrative or office support experience. Familiarity with liturgical terms, Church documents, or Catholic worship practices is desirable. Skills & Competencies: Strong organizational and multitasking abilities. Proficient with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Excellent written and verbal communication skills. Attention to detail, discretion, and professionalism. Ability to work independently and collaboratively in a team environment. Spiritual & Ecclesial Requirements: Practicing Catholic in good standing with the Church. Respectful and collaborative approach to working with clergy, staff, and parishioners.
