Lantana is looking for a proactive and detail-oriented Administrative Assistant to join our dynamic catering team. The ideal candidate will have experience in events, strong administrative and organizational skills, and a tech-savvy mindset. This role involves supporting our operations team with daily administrative tasks, helping coordinate events, and ensuring the smooth running of our back-office operations. This is a full time, salaried position, Monday to Friday, 42.5 hours per week.

REQUIREMENTS:

  • Previous administrative experience, preferably in catering, hospitality, or events.
  • Strong organizational and multitasking abilities.
  • Familiarity with food safety practices or commercial kitchen operations (a plus, not required).
  • Tech-savvy with experience using digital tools and a willingness to learn new platforms.
  • Excellent communication skills, both written and verbal.
  • Ability to work collaboratively with chefs, event coordinators, and operations staff.
  • Flexibility to support occasional on-site events or last-minute requests.
  • A proactive attitude, with a genuine desire to support the team and grow in the role.
Responsibilities
  • Providing administrative support to chefs and kitchen staff including menu updates, recipe documentation, and order tracking.
  • Assisting with event planning logistics such as client communication, venue coordination, and schedule management.
  • Managing emails, calls, and other communications on behalf of the catering team.
  • Maintaining and update spreadsheets, calendars, and digital filing systems.
  • Preparing quotes, invoices, and other client-facing documents.
  • Supporting the onboarding of casual staff or freelancers for events.
  • Using software tools (e.g., Excel, Google Workspace, scheduling apps, POS systems) to streamline operations.
  • Taking initiative to learn internal systems and offer improvements where possible.
