We are looking for a positive person who brings a passion for excellence and commitment to their work to join us, as we continue to strive to provide full design/build services for the most ambitious projects.
We currently have an opening to fill immediately for a full time Administrative Assistant at our Richmond BC office location. Note this is temporary full time 3 month contract. Work days are Monday to Friday with a start time between 7-8AM.
This position will encompass a variety of administrative and warehouse tasks. The chosen candidate will be highly organized, possess effective time management skills, have excellent command of the English language (both verbal and written), be able to multi-task and handle a variety of priorities in a very dynamic environment. An interest in construction and mechanical/HVAC systems is desired.
Scope of Work (duties can include, but are not limited to):
- General reception and administrative duties for the branch (IE answering the phones, scanning of paperwork, restocking and maintenance of the kitchen/fridge area, generally maintaining a clean and organized office space)
- Arranging for couriers; including packaging and labelling items as well as shipping/receiving of larger materials such a pallets. Ensuring that materials received are unpacked, verified in quantity and type as correct to packing slips, following up on missing items, as well as putting materials received away in designated locations in the office/warehouse
Supplies; checking on supply levels in office, washrooms and warehouse, topping up of supplies in each respective area, submitting lists for purchase approval when supplies are low, receiving orders and putting them away
- Picking of parts from shop stock (plumbing, electrical, drilling); packaging and shipping
- Assisting with travel arrangements and coordination as directed by Project Managers/Coordinators
- Maintenance of a database along with coordination of service calls. Completion of warranty paperwork for parts/labor coverages with manufacturers, invoicing and payment collection
- Maintenance of safety paperwork submittals along with project documentation submissions. Following up with staff for items outstanding
- Pricing of stock transfers for approval and enter into accounting software
- Handling follow-ups for missing receipts for credit card account reconciliations
- Vehicle maintenance tracking, booking of regular maintenance services, CVI’s, obtaining quotes and approvals for repairs, coordinating with staff to pickup/drop off vehicles/equipment
- Management of a quarterly inventory count, including paperwork preparations, being part of the physical count in the warehouse, auditing others who are counting in the warehouse, taking responsibility for the accuracy of the count and paperwork submitted, scanning and organizing of paperwork, coding of inventory items, labelling stock, data entry, interfacing and assisting the head office accounting team as needed
- Following up with clients for accounts receivables, taking payments
- Providing support to the Branch Managers, Project Managers, Project Coordinators & field staff as requested
Requirements:
- Class 5 drivers license
- Current forklift certification (and/or be willing to go for the training to operate a forklift for this position)
- Able to lift materials occasionally up to 40lbs
- Competency in navigating the MS suite of programs to at least an intermediate level
