Description

As an Administrative Assistant for our established Cross Country Ski Club, you will play a role in shaping and implementing strategies to foster the growth, sustainability, and success of our club. This position requires a detail oriented individual with an understanding of the sport and our operations, coupled with organizational skills. They will assist with member tracking, grant management, sponsorship follow through, and communication. They will work closely with the Executive Director, Program Coordinator, Nordic Program Manager, and communicate with all other GNC staff when needed.
History:
Glacier Nordic Club became official in 1984, although the start to youth ski education and nordic trail grooming started in 1978 with a small group of passionate cross country ski enthusiasts. We continue to grow, with 250 kids a part of winter long programs, adult programs, a Ski Team rental fleet, a mobile nordic shop that provides community rentals and lessons, and winter trail grooming at 5 locations. We also offer summer camps, and year-round community events.

Essential Skills, Knowledge, Abilities, and Background:

  • Passion around the mission of GNC and GNST.
  • Strong communication and teamwork skills.
  • Strong managerial, administrative, and organizational skills.
  • Proven ability to plan, facilitate, and adapt in your work structure.
  • Ideally experience in fundraising and/or grant writing.
  • Experience with event planning and marketing.
  • Experience with human resources and administration.
  • Experience with Excel, Word, and preferably Wordpress.
  • Demonstrates accuracy and thoroughness and monitors work to ensure quality.
  • Computer competency and ability to learn various database systems.
  • Completion of background screening and abuse prevention training.
  • Efficient with time management.
  • Maintain a drug, tobacco and alcohol-free environment.
  • If using a personal auto on GNC business carry a personal auto policy with minimum liability limits of $100k/$300k and provide proof of such policy to GNC.

Primary Duties:

  • Support a vision and passion for growing the organization.
  • Assist with staff onboarding and tracking.
  • Assist with grant writing and reporting.
  • Assist with sponsorship requests and follow-up.
  • Assist with tracking and recording memberships, scholarships, program registrations, rosters, and donations.
  • Assist with creating administrative policies, and updating various forms.
  • Assist with planning and executing events that contribute to fundraising goals.

Qualifications:

  • Bachelor’s degree from an accredited college or university.
  • Minimum three years’ experience of working with a non-profit, fundraising, administrative, development, and/or business, related professional experience.
  • Residence in the Flathead Valley, Montana.
  • Demonstrates professional appearance and hygiene in accordance with established workplace culture.
  • Excellent oral and communication skills.
  • Responsive to customer needs, including being tactful, respectful and considerate of others regardless of their status.
  • Exhibit sound and accurate judgment.
  • Demonstrates flexibility and the ability to quickly adapt to change in the work environment.
  • Demonstrates accuracy and thoroughness and monitors work to ensure quality.
  • Responds to management direction, follows instructions and completes work in a timely manner.
  • Strong organizational and project management abilities.
  • Competent in learning database software, fundraising event software, and other online tools; Microsoft Office Suite, Google Suite, Adobe Creative Suite.
  • Takes personal responsibility for own actions, keeping commitments and asking for and offering help when needed.
  • Observes safety and security procedures and reports any potentially unsafe conditions.
  • Is consistently at work when required and on time.

Physical Demands: Ability to: work on the computer for prolonged periods.
Work environment: Work from home using personal computer. Must be within a 30 mile radius of Whitefish, with ability to work occasionally in-person.
Job Type: Part-time
Pay: $22.00 - $25.00 per hour
Expected hours: 15 – 30 per week
