Position Overview
We are seeking a highly organized and proactive Administrative Assistant to support our team of financial planners. In this role, you will play a pivotal part in client relationship management, onboarding, scheduling, and operational support. This is a hybrid flexible position, offering a blend of in-office collaboration and some remote work flexibility.
Key Responsibilities
· Handle inbound client calls and provide timely, accurate support.
· Liaise with clients and their professional advisors to ensure seamless communication and delivery of information.
· Prepare new client onboarding documentation and maintain compliance standards.
· Manage appointment scheduling and coordinate advisor calendars.
· Process client transactions with accuracy and attention to detail.
· Track outstanding items, follow up on tasks, and maintain workflow momentum.
· Prepare client reporting packages and presentation materials.
· Organize meeting logistics and ensure all documentation is ready in advance.
· Maintain accurate and up-to-date client records in CRM systems.
· Provide general office administrative support, including document control and supplies management.
Qualifications & Skills
· Minimum 2 years of experience in an administrative or financial services support role.
· Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
· Detail-oriented, self-motivated, and proactive problem solver.
· Prior experience with Salesforce and DocuSign is considered an asset.
· Excellent interpersonal and communication skills, with the ability to manage multiple priorities.
