Description Administrative Assistant Job Summary: The Administrative Assistant is responsible for developing relationships and providing support to the various departments of Pylant Medical. This person will provide high-level administrative support to the management team of various departments within the company including: Finance, Human Resources, Medical Education and Sales . This person will need to present themselves professionally at all times as they will serve as the initial contact to the public for the business. To be successful in this role, you will need to function independently as well as within a team environment collaborating with other department(s) and serving as the administrative support for those department(s). As a supportive role, this position will need to be flexible and able to handle the responsibilities with multiple priorities. This position will report to the local management team and will report any changes, challenges or conflicts regarding day-to-day activities, as needed or called for. Duties/Responsibilities: · Answer and direct phone calls for the business. · Receives incoming communications on behalf of senior staff and distributes contents to appropriate staff. · Performs office tasks including maintaining and ordering supplies, replenishing supplies and performing basic housekeeping tasks on daily basis. · Serve as primary contact for any building maintenance issues including the opening/closing of the building(s). · Serve as primary contact for the checkout of company vehicles. · Provides high-level administrative support and assistance to leadership team members. · Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, organizational charts and other documents for senior staff. · Reviews submissions for compliance and reimbursement for Finance Team. · Provides reporting and data entry support for various departments. · Assists Human Resource Department with new employee onboarding documents and set up. · Will assist with the coordination of activities associated with event management for the Company including: - Arrangement of travel and accommodations - Scheduling and coordinating meetings and locations on behalf of leadership - Ensuring necessary meeting supplies and arrangements for refreshments for events. · Performs additional duties as assigned by senior staff. Requirements Required Skills/Abilities: · Excellent verbal and written communication skills. · Excellent organizational skills and attention to detail. · Excellent time management skills with a proven ability to meet deadlines. · Ability to function well in a high-paced and at times stressful environment. · Extensive knowledge of office administration, clerical procedures, and recordkeeping systems. · Able to type minimum of 50 words per minute. · Extremely proficient with Microsoft Office Suite products. · Ability to learn new or updated software. Education and Experience: · High school diploma required; Bachelor’s degree in Business Administration or related field preferred. · At least four years of related experience required. Physical Requirements: · Prolonged periods sitting at a desk and working on a computer. · Must be able to lift up to 30 pounds at times.
