Job Description: The administrative assistant will assist the Principal, staff, and students by operating an efficient, client-friendly office. The administrative assistant should have the ability to establish and maintain effective working relationships and strong skills for communicating clearly and effectively with students, staff, parents, and the general public. The administrative assistant will be expected to demonstrate skills in the use and adaptation of computer management software to school applications. A yearly schedule of 210 days will be expected.
An annual salary for the position will be determined by the School Committee.PERFORMANCE RESPONSIBILITIES: Greet, assist, and direct parents, teachers, students, and other visitors upon arrival at the school. Receive, screen, and direct incoming calls in accordance with school policy. Sort and distribute mail and messages to the Principal, staff, and students. Prepare and expedite transmission of outgoing correspondence for the Principal.
Prepare and distribute school newsletters, menus, and other notices to parents. Initiate and process purchase requisitions for all purchasing for the school. Prepare and revise cumulative record data of students, including residence and parent information. Prepare and maintain student records and ensure that they are updated regularly.
Maintain accurate and updated records of student enrollment attendance, tardiness, and dismissals. Assist those assigned to contact parents by keeping records of absence and reasons therefore. Maintain an emergency notification system for contacting parents. Assist in monitoring students sent to the office for disciplinary reasons.
Maintain a substitute folder and schedule substitutes for absent staff. Orient substitutes upon arrival as to their assignment and materials prepared by absent teachers. Provide new staff with necessary employment forms and health insurance information. Record and report to the Superintendent’s Office staff absences and substitute information for payroll.
Distribute annual bulletins and forms related to and school lunch program, emergency information, etc. Update and make available handbooks, forms, schedules, or any other necessary documents of the school. Maintain and expedite communication with transportation contractors about students, schedules, parent requests, discipline, and emergencies. Assist community groups with procedures for use of the school facility, subject to the Principal’s approval.
Maintain, schedule service, and order supplies for office equipment (copier, printers, laminators).Maintain an inventory of office supplies and materials, and oversee a requisition process for their distribution.Maintain a petty cash fund. Obtain quotes and make reservations for bus transportation for various class field trips. Send monthly PreK invoices and track payments and accounts. Experience Preferred: At least (3) years of successful office experience.
