JOB SUMMARY:

The Administrative Assistant supporting the Health and Safety Department provides essential administrative and clerical support to ensure the smooth functioning of safety operations. This role involves coordinating documentation, managing schedules, assisting in compliance activities, and maintaining safety records to promote a safe and compliant workplace environment.

QUALIFICATIONS:

  • High school diploma or equivalent; additional administrative or safety-related certification is a plus.
  • Proven experience as an administrative assistant or in a similar role.
  • Excellent organizational and multitasking skills.
  • Strong attention to detail and confidentiality.
  • Good communication and interpersonal skills.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and other standard office software.
  • Knowledge of health and safety regulations is desirable.
  • Experience in construction an asset.
  • Fleet knowledge an asset.
Responsibilities
  • Prepare, file, and maintain health and safety documentation, reports, and records.
  • Assist with scheduling and coordinating safety training sessions, meetings, and audits.
  • Support the implementation of safety policies and procedures.
  • Liaise with employees and external agencies regarding safety-related matters.
  • Manage correspondence, phone calls, and inquiries related to health and safety.
  • Assist in tracking and reporting safety incidents and corrective actions.
  • Maintain inventories of safety supplies and equipment.
  • Support the organization of safety inspections and drills.
  • Ensure compliance with applicable health and safety regulations and standards.
  • Perform general administrative tasks such as data entry, photocopying, and document preparation.
  • Other duties as assigned.
