We are seeking a highly organized and proactive Administrative Assistant to to provide administrative and clerical support to the office and team to ensure the efficient operation of the office by supporting a variety of tasks. Responsibilities: Manage all daily office operational tasks to ensure smooth functioning of the office. Greet guests and answer daily phone calls with professionalism and warmth. Keep the office environment clean, organized, and fully stocked with necessary supplies. Coordinate with office management to address facility issues or needs. Coordinate service providers and external vendors as needed. Booking travel arrangements for Managing Partner. Gathering data and maintaining organization in Excel lists (diverse staff lists, payments, diverse contact lists, etc.) Create physical filing system, organize the electronic filing system for documents to be uploaded (for other staff members) to the CRM. Facilitate IT onboarding and gathering the work equipment for new joiners and placing orders and keeping tracking updated. Assist with special projects and ad hoc requests as needed. Representing the office in activities and alignments within the organization. Assist Managing Partner as needed. Qualifications: Excellent interpersonal skills and self-awareness Excellent relationship building skills Having a strong work ethic and the ability to address multiple tasks in a short time frame and being able to stick to strict deadlines Strong written and verbal communication skills Ability to work both independently and within a team environment Proficient in Microsoft Word, Excel and PowerPoint Previous experience in the office management is of a great advantage What we offer: Salary of CAD 55k per year Comprehensive health, dental, and vision insurance.
