Martin/Martin, Inc., a civil and structural engineering firm, is currently seeking an Administrative Assistant I. The ideal candidate must be able to excel in a fast-paced environment. The ability to provide exceptional customer service to employees and clients, multi-task, and attention to detail is required. The candidate must be able to work each day as a team player with other administrative assistants and engineering staff. The ability to work overtime, as needed, and dress professionally is required for this position.

WORKING CONDITIONS/SKILLS/ABILITIES

This position is primarily administrative in nature, working mostly inside of the office completing a wide range of activities. The following abilities are required:

  • Completing repetitive movement on tasks such as using a mouse or keyboard
  • Ability to remain stationary for long periods of time
  • Read, communicate, and document in English
  • Identify color
  • Determine and exchange accurate information
  • Occasionally move about outside of the office
  • Occasionally move or hold objects weighing up to 25 pounds

Requirements:

REQUIRED QUALIFICATIONS

  • High School Diploma or equivalent
  • Excellent customer service skills
  • Collaborate effectively with others
  • Proficiency in Microsoft Office
  • Able to prioritize workload in a fast-paced environment
  • Detail-oriented

DESIRED QUALIFICATIONS

  • Associate or Bachelor’s degree, or equivalent experience
  • Ability to receive Notary certification within the first three months of employment
  • 2-3 years’ experience in related field
Responsibilities
  • Word processing duties including proposals, letters, project setup, comment and responses, specifications, and meeting notes
  • Review and complete expense reports, coordinate/schedule meetings and travel, draft project-specific documents, and other light project coordinating duties
  • Assist in meeting/event set-up including scheduling, room set up, virtual/webinar meetings, ordering food, and cleaning up after meetings/events
  • Register employees for classes/seminars and track attendance
  • Complete purchases on behalf of the company
  • Assist in archiving
  • Other duties/tasks as assigned
