Overview The Administrative Assistant II is responsible for supporting departments and healthcare teams with administrative tasks of medium complexity. The role manages communication, scheduling, and travel arrangements. The role orders office supplies, maintains equipment, and oversees correspondence to ensure proper tracking and timely follow-up. The role maintains patient, staff, or departmental records, performs data entry, and prepares reports to support decision-making. The role updates documentation, assists with medical billing and insurance processing when applicable, and coordinates departmental projects, ensuring adherence to schedules and company standards. Responsibilities Administrative Support (60%) Supports departments and healthcare teams with administrative and clerical support of medium complexity. Handles critical incoming and outgoing correspondence, ensuring proper tracking and documentation in office software. Coordinates schedules for high-level meetings, appointments, conferences, and events, ensuring thorough documentation, implementation and detailed follow-up. Maintains inventory levels of office supplies, ensures office equipment is functional, and coordinates any necessary repairs or replacements with vendors. Addresses complex inquiries from staff, patients, and visitors with professionalism and escalate, as needed. Handles end-to-end travel arrangements, including booking transportation and accommodations, with guidance from the appropriate team members. Office Operations (40%) Supports budget and expense tracking at the department(s) level and manages office procedures to ensure efficiency. Maintains patient or staff, and departmental records, ensuring compliance with privacy regulations and industry standards. Handles confidential documents and sensitive information, prepares detailed reports and presentations to support decision-making. Assists in managing medical billing and insurance documentation if required, ensuring correct processing and supporting the department in handling discrepancies or issues. Supports departmental projects by assisting with planning, execution, and coordination of resources, ensuring deadlines and quality standards are met. Qualifications Education High School Diploma/GED (Required): High school diploma or equivalent (GED). Work Experience 3 years (Required): Three years of experience in an administrative, business, or medical-related program. Knowledge, Skills and Abilities Required Strong organizational skills with the ability to manage multiple tasks, schedules, and priorities in a fast-paced environment. Knowledge of office software (e.g., Microsoft Office Suite) and, if applicable, hospital management software. Ability to effectively exchange information and foster collaboration across departments to achieve shared goals. Knowledge of physical and electronic record-keeping and filing systems to ensure compliance with industry standards. Basic knowledge of medical billing, insurance documentation, and reimbursement processes. Strong attention to detail to ensure accuracy, consistency, and quality, helping avoid errors, improve efficiency, and enhance work effectiveness. Strong problem-solving skills to address and resolve inquiries, issues, or discrepancies quickly and effectively.
