Description
I. JOB SUMMARY Performs routine administrative support work. Work involves providing administrative support including disseminating information; assisting with maintaining filing systems; and preparing and editing reports and documents. Works under moderate supervision with limited latitude for the use of initiative and independent judgment. II. ESSENTIAL FUNCTIONS A. Prepares and disseminates information concerning agency programs and services; prepares, edits, and distributes correspondence, reports, studies, forms, and documents; and performs data entry and complex typing. B. Responds to inquiries regarding rules, regulations, policies, and procedures; and develops special administrative analyses and summaries of staff reports and recommendations for review by an administrator. C. Reviews and distributes mail; and develops, coordinates, and maintains filing, record-keeping systems, and tracking. D. Performs criminal information searches and retrieval using Texas Department of Public Safety criminal history system access. E. Organizes, assigns, and reviews the work of others; and provides training and technical assistance to others. * Performs a variety of marginal duties not listed, to be determined and assigned as needed. III. MINIMUM QUALIFICATIONS A. Education, Experience, and Training 1. Graduation from an accredited senior high school or equivalent or GED. 2. Customer service, clerical, secretarial, administrative support, technical program support, or criminal justice experience preferred. * Must have or be able to obtain a certificate of course completion for the Texas Law Enforcement Telecommunications System (TLETS) policy and procedures training from the Texas Department of Public Safety within six months of employment date. Knowledge of office practices and procedures. 2. Knowledge of business terminology, spelling, punctuation, and grammar. 3. Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations preferred. 4. Skill to communicate ideas and instructions clearly and concisely. 5. Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public. 6. Skill to interpret and apply rules, regulations, policies, and procedures. 7. Skill in problem-solving techniques. 8. Skill in the use of computers and related equipment in a stand-alone or local area network environment. 9. Skill to prepare and maintain complex records and files in an automated system. 10. Skill in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs. 11. Skill to organize, assign, and review the work of others. 12. Skill to type 45 words per minute (with no more than 10 errors) preferred. IV. ADDITIONAL REQUIREMENTS WITH OR WITHOUT REASONABLE ACCOMMODATION A.
