JOB SUMMARY Performs routine administrative support work. Work involves providing administrative support including disseminating information; assisting with maintaining filing systems; and preparing and editing reports and documents. Works under moderate supervision with limited latitude for the use of initiative and independent judgment. ESSENTIAL FUNCTIONS A. Prepares and disseminates information concerning agency programs and services; assists in the development of policies and procedures for admission documents word processing; and responds to inquiries regarding rules, regulations, policies, and procedures. B. Prepares, edits, and distributes statistical reports, correspondence, studies, forms, documents, and manuals; performs complex typing and word processing; and maintains filing and record keeping systems. C. Assisting in compiling and entering data for charts, graphs, databases, summaries, and reports; and assists in developing and providing training and technical assistance to others. D. Provides assistance answering and routing phone calls, taking messages, and greeting and directing visitors to the appropriate staff. * Performs a variety of marginal duties not listed, to be determined and assigned as needed. MINIMUM QUALIFICATIONS A. Education, Experience, and Training 1. Graduation from an accredited senior high school or equivalent or GED. 2. Customer service, clerical, secretarial, administrative support, technical program support, or criminal justice experience preferred. 3. Computer operations experience preferred. 4. Inmate classification experience preferred. Knowledge and Skills 1. Knowledge of office practices and procedures. 2. Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations preferred. 3. Skill to communicate ideas and instructions clearly and concisely. 4. Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public. 5. Skill to interpret and apply rules, regulations, policies, and procedures. 6. Skill in problem-solving techniques. 7. Skill in the use of computers and related equipment in a stand-alone or local area network environment. 8. Skill to develop and provide training and instruction. 9. Skill to prepare and maintain accurate records, files, and reports. 10. Skill to type 45 words per minute (with no more than 10 errors) preferred. ADDITIONAL REQUIREMENTS WITH OR WITHOUT REASONABLE ACCOMMODATION A. Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, climb stairs, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry 15-44 lbs., perceive depth, operate a motor vehicle, and operate motor equipment. B. Conditions include working inside, working around machines with moving parts and moving objects, radiant and electrical energy, working closely with others, working alone, working protracted or irregular hours, and traveling by car, van, bus, and airplane. C. Equipment (machines, tools, devices) used in performing only the essential functions include computer and related equipment, calculator, copier, fax machine, transcription equipment, microfilm equipment, telephone, dolly, and automobile.
