ADMINISTRATIVE ASSISTANT II:

On behalf of our client, Procom is searching for an Administrative Assistant II for a 6-month role. This position is a hybrid position with 3 days onsite at our client’s Calgary office.

ADMINISTRATIVE ASSISTANT II - JOB DESCRIPTION:

This role involves providing independent legal administrative support to the Vice President, Legal & Corporate Secretary, lawyers, and paralegals within the Corporate Secretarial Group. The Legal Assistant will handle a broad range of legal matters, ensuring high-quality, efficient, and timely work while maintaining confidentiality and professionalism to support the department’s daily activities.

ADMINISTRATIVE ASSISTANT II - MANDATORY SKILLS:

  • Completion of a Legal Assistant Certificate and/or Diploma
  • Minimum of 3 years experience as a legal administrative assistant
  • Ability to handle a high workload and provide responses on short timelines
  • Strong organizational and time management skills
  • Exceptional interpersonal and communication skills
  • Strong computer skills, including Microsoft Office Suite
  • Ability to maintain confidentiality and exercise sound judgment

ADMINISTRATIVE ASSISTANT II – NICE-TO-HAVE SKILLS:

  • Working knowledge of TeamConnect and SharePoint
  • Ability to adapt quickly and prioritize effectively
  • Positive attitude and strong problem-solving skills
  • Experience in a fast-paced office environment
  • Team player with excellent teamwork abilities
Responsibilities
  • Independently provide efficient administrative support to legal team members
  • Manage schedules, direct access, and screen routine/non-routine correspondence
  • Coordinate compilation of VP weekly reports and maintain records
  • Schedule meetings, manage hospitality requirements, and arrange travel
  • Handle expense reporting, mail processing, and calendar management
  • Consolidate and code invoices, manage counsel expenses, and timekeeping
  • Provide onboarding support for new hires
  • Perform other administrative tasks as requested
