JOB SUMMARY

The Administrative Assistant II provides advanced administrative and clerical skills to support administrators, faculty and other professional staff members within the Department of Population Health Leadership and Analytics. The position exercises appreciable independent judgement in coordinating the details of the office.

REQUIRED EDUCATION/EXPERIENCE

  • High School Diploma or equivalent
  • Five (3) years of experience in an executive or professional office setting, preferably in higher education

PREFERRED EDUCATION/EXPERIENCE

  • Bachelor’s degree.
  • One (1) or more years of clerical experience.
  • Demonstrated proficiency with MS Excel, Word and Outlook and experience with different accounting systems.

ACCOMPANYING KNOWLEDGE, SKILLS, ABILITIES AND COMPETENCIES

  • Advanced proficiency using computers and office software packages.
  • Working knowledge of databases.
  • Must exercise confidentiality and discretion at all times.
  • Ability to use appreciable independent judgement in coordinating details of the Department of Population Health Leadership and Analytics.
  • Consistently portray excellent interpersonal and communication skills.
  • Demonstrates professional demeanor and appearance.
  • Advanced organizational and professional skills leading to successful and timely task completion.

CLINICAL POSITION REQUIREMENTS

Clinical positions may be required to complete a pre-employment health screening, following a contingent job offer, to determine whether they possess the physical capabilities needed to safely fulfill the specific demands of the position. Additionally, clinical positions require compliance with the University’s Vaccine Preventable Disease Policy.

Responsibilities
  • Provide budget and financial support including but not limited to reimbursements, purchasing and travel.
  • Complete monthly account reconciliations.
  • Make travel arrangements and reservations.
  • Handle confidential information and sensitive issues requiring discretion.
  • Maintain appointment calendar and schedule appointments.
  • Maintain office filing system and/or databases.
  • Order and maintain supplies.
  • Perform an annual inventory of supplies and equipment.
  • Ensure that grant processing is accurate.
  • Other duties as assigned.
