POSITION OVERVIEW:

The Administrative Assistant II reports to the Chair of the Department of Marine Biotechnology and will provide administrative and financial support to the department.

REQUIRED MINIMUM QUALIFICATIONS:

  • High School Diploma or GED.
  • Three years of progressive experience providing administrative support.
    Note: Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

PREFERRED QUALIFICATIONS:

  • Bachelor of Science
  • Experience with working for a higher educational environment or not-for-profit organization.
  • Progressive experience in Accounts Payable, Procurement Card, Human Resources, or related responsibility.
Responsibilities

Administrative Assistant II reports to the Chair of the Department of Marine Biotechnology and will provide administrative and financial support to the department.

Financial support includes:

  • P-card purchases, monthly P-card reconciliation.
  • Vendor payments in PAW or USM Foundation reimbursements.
  • Processing grant subawards, and journal entries, as necessary.
  • Travel support includes hotel or conference booking.
  • Pre-approval and reimbursement for traveler expenses.

Administrative support includes:

  • Scheduling for the Chair.
  • Recording meeting minutes.
  • Department parking assistance.
  • Creating appointment letters.
  • Work with CNMS Shared Services Payroll for hiring faculty, student, or visiting scholars.
  • Interacting with Institutional Animal Care and Use Committee (IACUC) and writing protocols in support of PI/Post-doc research projects.
  • Provide administrative support for IMET, ARC, or CNMS administrative departments, as needed.
