SUMMARY/OBJECTIVE:

The Administrative Assistant III position requires a highly collaborative and detail-oriented individual who can adapt to a dynamic work environment. Must be resourceful, an independent thinker, and self-sufficient as well as self-motivated.

TRAVEL REQUIREMENTS

  • Occasional travel between facilities
  • Must be 18 or older with a valid WA driver’s license.

REQUIRED EDUCATION

  • Equivalent of the completion of the twelfth grade.
  • Additional specialized or college level course work in business administration, or a related field is desirable.

REQUIRED EXPERIENCE/SKILLS

  • Minimum of 3 years of clerical, secretarial, and office administrative support experience including two years of experience at a level comparable to an Administrative Assistant II.
  • Proficient at using MS Office.

PREFERRED EDUCATION

  • Associate’s degree in business or a related field.

ADDITIONAL ELIGIBILITY REQUIREMENTS

  • U.S. Passport
  • Valid Driver’s License (Satisfactory Motor Vehicle Report)
    Salary: Starting at 55k, DOE
    7am - 3:30pm, Mon-Fr

Responsibilities

ESSENTIAL FUNCTIONS:

  • Conduct special analytical projects to assist professionals within the department.
  • Distribute all incoming mail and courier packages.
  • Weekly and Monthly data entry using MS Excel.
  • Prepare and process purchase order requests for Operations.
  • Maintain supply room inventories.
  • Manage departmental consumable/replacement parts purchasing within company policies and standards.
  • Liaise with vendors and shipping companies.
  • Prepare documents and schedule outgoing non-hazmat courier shipments.
  • Maintain and update forms, notices, checklists, labels, “Re-Order” sheets, placard stock, filling field orders for production and shipping.
  • Assist in maintaining documents related to Manufacturing using M-files electronic document management system.
  • Process Lab Material requests and QC Expiry requests.
  • Ability to work independently, prioritize effectively, plan, problem-solve, and meet goals.
  • Maintain regular consistent and professional attendance, punctuality, personal appearance, and adherence to relevant health & safety procedures.

OTHER DUTIES

  • Provide on-the-job training and oversee daily tasks for Administrative I / Administrative II.
  • Maintain Reception area and office equipment (copier, printer fax).
  • Ensure IT equipment and all needed supplies are prepared for meetings according to an agreed standard.
  • Fields direct calls, voicemails, emails, and direct requests from department managers and employees, as well as employees in other departments. Grant building and facility access to visitors.
  • Coordinate and implement general office services such as appointment-setting, records control, and other administrative activities.
  • Drive Company vehicle to run errands.
