Description The Imaging Department Administrative Assistant (AA) organizes and helps coordinate the Director of Imaging Services/Safety Officer’s functions in the facility. Keeping files and papers in an organized manner to ensure accountability of the daily operation of the facility. The Administrative Assistant is responsible for providing support at the unit level, by maintaining organized records, coordinating information with technologists, registration staff, as well as other Hospital District departments and regulatory agencies. The Administrative Assistant will support the Director of Imaging Services/Safety Officer achieving quality, patient satisfaction, staff development, business management, teamwork, culture, employee satisfaction, and any other tasks that may be requested to perform when necessary. The Administrative Assistant is responsible for understanding, supporting and implementing the philosophy and policies of the healthcare organization (HCO). All RRH employees must perform their job responsibilities according to all RRH Hospital policies, as well as to accrediting organizations, federal and state regulation, and to the Centers for Medicare and Medicaid Services (CMS) guidelines, as applicable. Requirements Job Qualifications: High School Diploma or equivalent. Completion of Medical Terminology is preferred A minimum of 1-year experience in administrative secretarial position preferred. Secretarial or business school preferred. Essential Duties and Responsibilities: Maintains accurate and up to date policy and procedure manuals. Audits the department’s compliance with policy and procedures. Demonstrates applicable knowledge of policies and procedures related to the unit. Demonstrates the ability to perform technical skill related to the unit. Manages and updates any necessary records and reports (including the Networks’ database) needed for daily unit functioning. Assists management team by typing, editing and distributing memos and reports as directed. Maintain personnel records of staff; initiate forms required for new employees, salary increases, etc. Take and transcribe dictation; complete forms and reports that are required by governmental agencies. Maintain census records of patients and employees. Maintains confidentiality and completes documentation as required. Communicates appropriately with unit personnel, patients, and family. Make all travel arrangements for facility personnel. Complete travel authorization and expense reports. Schedule appointments for Director of Imaging Services/Safety Officer and arrange conferences. Assist administrative staff in routine functions as warranted. Participate in special projects, staff meetings and in-services as appropriate. Follows safety guidelines for self, patients, visitors, and employees, and follows universal infection control precautions and procedures regarding handling hazardous chemicals. Responds with patient and non-patient emergencies according to policies and procedures within job requirements. Assists in the evacuation of patients and staff in the event of emergency fire and/or disaster in the clinic and/or hospital. Assists in Fire Drills, Safety In-Service, CMS and TDSHS Inspections, Physicist Inspections. Assumes responsibility and utilizes opportunities for personal and professional growth. Promotes, supports and adheres to all policies outlined in the Employee Handbook. Ability to communicate clearly and concisely both orally and in writing. Computer literate in basics of PC use and data entry. Microsoft 365 experience is preferred Representative of the Imaging Department/Director of Imaging Services/Safety Officer during his or her absence. Assumes responsibility for medical records by keeping patient’s charts up to date. Schedule appointments for staff and patients as directed. Track data of Imaging Department volumes and reports. Maintain office supplies and equipment needed to run the unit. Reconcile charges and number of exams with medication log daily to ensure accuracy. Ability to schedule Imaging exams along with checking on lab results for renal function and ensuring that the preauthorization of insurance has been obtained and well documented prior to scheduling the patient Assist office personnel as needed and complete other duties delegated by Administrator. Data entry and reporting to internal and external sources as delegated. Completes insurance justifications in a timely manner.
